Academic Support Officer
An Academic Support Officer plays a key role in assisting students with their academic progress by providing guidance and resources to help them succeed. They collaborate with faculty and other staff to identify students who may need additional support, offer academic advising, and help develop strategies to improve performance. This role often involves coordinating tutoring programs, monitoring student progress, and ensuring that students have access to necessary resources, such as workshops or study aids, to enhance their learning experience.
The Academic Support Officer is responsible for providing administrative and operational support to ensure the smooth delivery of academic programs and services. The position coordinates with lecturers, students, and academic departments to support class schedules, academic records, course materials, assessments, and other academic activities.
The Academic Support Officer assists in monitoring academic processes, maintaining accurate documentation, responding to student and lecturer inquiries, coordinating academic events and activities, and ensuring that academic procedures are implemented effectively and on time. The position also supports continuous improvement of academic services and contributes to a positive learning and teaching environment.
What you'll do
- 1. Academic Administration
- Assist in the development and management of academic schedules, including timetables ,course registration, and examination arrangements.
- Maintain accurate and up-to-date records of student enrollment, attendance, grades, and progress reports.
- Support the preparation and distribution of course materials, including syllabi, handouts, and online resources.
- Ensure compliance with university policies and procedures in all academic activities.
- 2. Student Support
- Support to provide guidance to students on course selection, registration, and academic requirements.
- Address student inquiries and resolve issues related to academic processes and services.
- Assist in organizing student orientation programs and academic workshops.
- 3. Faculty Support
- Provide administrative assistance to faculty members, including preparing teaching materials, scheduling meetings, and managing communications.
- Support faculty in tracking and submitting grades, assessments, and other academic deliverables.
- Coordinate faculty meetings, workshops, and professional development activities
- 4. Event Coordination
- Assist in planning and organizing academic events, such as seminars, conferences, and open houses.
- Coordinate logistics for events, including venue setup, equipment, and materials.
- Work with other departments to ensure the successful execution of university-wide events.
- 5. Technology and Systems Management
- Manage and update academic databases, student information systems, and learning management systems (LMS).
- Provide technical support to faculty and students for online learning platforms and tools.
- Ensure timely and accurate reporting of academic data for internal and external stakeholders.
- 6. Quality Assurance and Compliance
- Support program reviews and accreditation processes by collecting and organizing required data and documents.
- Assist in gathering feedback from students and faculty to improve academic programs and services.
- Ensure adherence to university standards and regulatory requirements in academic operations.
What we're looking for
- Bachelor’s degree in Education, Business Administration, Management, Human Resources, or a related field.
- Minimum 1–2 years of experience in academic administration, education, student services, or a related position.
- Fresh graduates with strong organizational and communication skills may also be considered.
- Good understanding of academic administration and university/college operations.
- Strong English communication skills, both written and verbal.
- Good Microsoft Office skills, particularly Word, Excel, PowerPoint, and email communication.
- Strong organizational and time-management skills with the ability to manage multiple tasks and deadlines.
- Good coordination and interpersonal skills, with the ability to work effectively with lecturers, students, and administrative staff.
- Strong attention to detail and accuracy in maintaining academic records and documents.
- Ability to work independently as well as collaboratively within a team.

- Ability to maintain confidentiality of student and academic information.
- Willingness to work flexible hours when required for academic events, examinations, orientations, workshops, or other university activities.
